Crosby Technology Services, LLC (“CTECH,” “we,” “us,” or “our”) retains personal and business information only as long as necessary to fulfill legitimate business purposes, comply with legal and contractual obligations, maintain security, resolve disputes, and enforce agreements.

This Data Retention Policy explains the categories of information we retain, applicable retention periods, and secure disposal practices.

CCTECH may retain the following categories of information collected through our Website or business operations:

  • Contact information submitted through forms or email inquiries
  • Client account, billing, and contractual records
  • Business communications, including email and support tickets
  • Operational logs, security records, and system metadata
  • Documentation required for tax, accounting, regulatory, or contractual compliance

We limit data retention to what is reasonably necessary for operational continuity and legal requirements.

Retention periods vary depending on the type of data and applicable obligations.

In general:

  • Website contact form submissions are retained for up to twelve (12) months.
  • Client contracts, billing records, and financial documentation are retained for seven (7) years for accounting and legal compliance.
  • Service logs, support tickets, backup metadata, and operational records are retained for three (3) to seven (7) years, depending on regulatory or contractual requirements.
  • Data managed within client environments (such as Microsoft 365 or hosted systems) follows the client’s own retention policies unless otherwise specified in a signed agreement.

Retention periods may be extended where required by law, security investigation, dispute resolution, litigation hold, fraud prevention, or legitimate business interest.

When information reaches the end of its retention period, CTECH applies reasonable administrative and technical safeguards to securely delete, anonymize, or otherwise dispose of data in accordance with industry practices.

Secure disposal may include encrypted deletion, logical data wiping, or controlled destruction of physical records where applicable.

CTECH may update this Data Retention Policy periodically. Updates will be reflected in the “Last Updated” date above.
